Run mailcow yourself or choose managed hosting?
Mailcow provides an email platform under your control, including domains and mailboxes. Installation is only the beginning. The practical question is who keeps the service current, investigates delivery problems and restores data when something goes wrong.
When self-management is a good fit
Self-management can make sense when your team has Linux, Docker and email expertise, with ongoing time allocated to operations. You control changes and can implement specialised integrations. Plan for cover as well: a business email service still needs support when its only administrator is on holiday.
Budget for staff time, separate backup storage and testing as well as the server itself. Document credentials and recovery procedures so an authorised colleague can take over. One successful email delivery test does not replace ongoing operations.
Recurring operational tasks
Monitor certificates, available capacity, services and message queues. When delivery fails, the sender, recipient, time and exact error are useful starting points. Use logs to establish whether a message was accepted, rejected or queued for retry. Avoid sharing confidential email content through unsuitable support channels.
DNS settings and sender authentication must match your actual sending environment. Include newsletter services, website forms and other systems sending on behalf of your domain. Correct configuration matters, but it does not guarantee placement in another provider's inbox.
Updates and recovery belong together
Read the project's release guidance before updates, choose a maintenance window and check your backup beforehand. The mailcow documentation describes a tool for backing up individual components or the whole environment. Component selection and retention need to match your recovery objectives.
A backup must also be usable in practice. In a separate environment, check that mailboxes, configuration and required data can be restored together. Assign responsibility for authorising recovery and informing users during an incident. Keep copies separate from production.
What managed mailcow at NUXOA includes
Our managed plans include setup, updates, monitoring, DDoS protection, seven daily onsite backups and two weekly offsite backups. Support is available around the clock through the ticket system. NUXOA is listed by mailcow as a Verified VPS Servers Provider; our product page links to that listing.
Your business requirements still need decisions: who may create mailboxes, which permissions are required and which devices need access? We scope specialised integrations, existing mailbox migration and custom requirements against your current environment. Server setup does not automatically include a complete data migration.
Decide using a complete inventory
- List domains, mailboxes, aliases, data volumes and all sending systems.
- Assign responsibility for updates, alerts, users and recovery.
- Test sending, receiving and required clients with a pilot mailbox.
- Agree the cut-over window, final data synchronisation and rollback plan.
